Less repeated entry
Collect the agreed details once and carry them into the next task or supported system, matched to the right job or customer.
Connected Workflows & Team Tasks
The job is finished, but the office is still chasing photos, approvals and notes. We connect your tools so the next person gets what they need to finish the work.
Start with one repeated process. Make unfinished work visible and help the next person pick it up.
Pick a time in our booking calendar. The audit is free.
Close the gaps between teams
When work moves through inboxes, messages and separate systems, someone ends up holding it all together. We turn that repeated handover into a shared process your team can follow.
Collect the agreed details once and carry them into the next task or supported system, matched to the right job or customer.
Give each step an owner, due date and next action. Show waiting, blocked and overdue work before someone has to chase it.
Put the notes, file links and recorded decisions together so the next person can do their work with the right context.
A practical example
Illustrative workflow for a service business. Field staff report what happened; an authorised office reviewer decides whether it is ready to hand over.
A short phone-friendly form collects the job reference, completion notes, photos and requested extras.
Required details are checked. The office coordinator gets a due date and a link to the job record.
The authorised reviewer checks the evidence and extras, then records approval or requests missing information.
Approved details reach the agreed billing queue or supported destination. Its record is checked before the handover is marked complete.
The field team lead owns the correction. The job stays waiting for information.
The agreed backup office reviewer takes over. An overdue task never approves itself.
The operations coordinator owns the exception and checks the destination before a retry.
Illustrative finished handover
Job 1042 · Billing handover complete
Office approval recorded. Completion notes, photos and approved extras are available in the billing queue. Next owner: accounts team. Next action: prepare the invoice.
Ready for billing, invoice issued and paid are separate stages. Preparing or issuing an invoice is additional scope.
Work where your team works
We start with your existing CRM, job system or task workspace. Often the useful change is a better form, clearer task rules and a connection between tools you already use.
Staff see the owner, due date, status and next action on the record, with views for their tasks, waiting approvals and overdue work where supported.
What Allevic delivers
A clear map of the start, finish, owners, deadlines, approvals and exceptions, based on how your business actually works.
The agreed form, task views, reminders and named connections, including the fields and file links needed for the handover.
We walk your team through daily use, show them how to take over when needed and leave a simple guide with the support details.
We test the normal path and the awkward cases: missing details, repeat submissions, outdated approvals and failed transfers. Your team checks that the final record is usable.
Start with one handover
For a job-based business, a useful first scope is a completion form, one office-review step and a checked billing handover in an existing workspace. Include an overdue view and a named person for exceptions.
Bring one recent example to the audit: where it started, where it stalled and what the next person needed. We’ll help identify a sensible first project.
Each is a separate workflow to scope. Broader operations, two-way syncing and custom interfaces can be added when they solve a clear need.
Before you start
We start with what you have. The right fix may be clearer task templates, assignment rules or a supported connection to where work starts. A new interface is only proposed if your current tools cannot handle the agreed process well.
Chat can alert people and link them to the task. The record holds the owner and status. Working buttons need a supported app connection and authorised actions; a simple notification alone cannot process approvals. Reading a message or replying “done” does not prove the underlying work is finished.
We agree a backup owner and escalation path. Missing information goes back to the person responsible, with a reason, while the task stays visibly unfinished. A failed connection also stays in a named exception queue so it can be checked and recovered.
Yes, for facts only they know, such as whether physical work is complete or why a job is blocked. We shorten that update and reduce repeated entry. Important decisions still go to the authorised person, with a record of what they approved.
This offer covers the agreed internal tasks and handovers between stages. Invoice preparation, customer follow-up, booking actions, document extraction and broader reporting are separately scoped. Many workflows work well with forms and rules alone. AI can help with a specific task where useful, but it is not required.
We check the actual account, plan and required actions before committing to a connection. If a direct update is unavailable, an assigned manual handover may be the useful endpoint. Your proposal names the connections and what each one will do.
Setup, third-party software, hosting and ongoing support are scoped separately. A workflow in your environment may be handed over for your team to operate. If Allevic hosts or maintains it, we agree the monitoring, recovery and support included.
