Staff follow-up queue
Show eligible items and remind the owner to act. Your team contacts the customer and records the outcome.
Useful when a personal conversation matters.
Customer Follow-up & Reminders
Keep quotes moving and follow up with customers without relying on someone to remember. Replies go to your team, and reminders stop when the job moves on.
Start with one follow-up you want to stop chasing. We can remind your team, prepare a message to check or send it automatically.
Pick a time in our booking calendar. The audit is free.
Less remembering. Clearer next steps.
Open quotes sit in an inbox. Missing details hold up a job. Someone chases a customer who already called back. It is hard to tell what needs attention and what has already moved on.
Choose how much to automate
We choose the level that fits your team and the reliability of your records. Automatic sending is an option once the status checks, reply route and stop rules are dependable.

Useful when a personal conversation matters.
Prepare a follow-up using agreed wording and the current record. Staff check and send it.
A prepared draft still needs a person to send it.
Send a bounded sequence through a supported channel, rechecking eligibility before each message and pausing for replies.
With a named owner for replies and exceptions.
How it works
One purpose, one reliable source and one agreed channel come first. Each follow-up belongs to a specific business item, so two quotes for the same customer don’t become one confused sequence.
A quote was sent or a specific request for information went out. A saved draft alone doesn’t start a chase.
Assign an owner and agree timing, contact hours, wording and the maximum number of attempts.
Read the latest status and contact preferences. Create the task, prepare the draft or send the permitted message.
Log what happened. Give replies and exceptions to the owner, with a clear reason when follow-up is paused.
A reply pauses the sequence for review. An opt-out stops further contact for the relevant purpose. Acceptance, decline, expiry, a replaced quote, completed job or staff takeover stops or changes the sequence as agreed. Reaching the attempt limit ends it too.
If the latest status is unavailable or a send result is uncertain, the item goes to review before another message is attempted.
What your team uses
The work can live in your existing CRM, a maintained shared Sheet or an agreed task tool, with replies in a monitored mailbox or conversation view. We confirm the actual workspace during discovery.
Staff can see the owner, last action, next action and pause reason. They can pause follow-up, record a phone outcome and deliberately resume after a fresh status check.
If your software already has suitable reminders, configuring those may be the right solution.
What we deliver
A defined start event, eligible records, approved messages, schedule and attempt limit for one purpose and channel.
An owned queue or record view, reply routing, pause and resume controls, action history and a place for failures to reach a person.
Controlled checks for eligible items, replies, opt-outs, changed outcomes and duplicate events, plus guidance on who maintains the workflow.
A practical first scope
Use one reliable quote list, one agreed email route and a named reply owner. Build a staff queue or reviewed email draft first, then consider automatic sending when the connected records support it.
Bring a recent quote you had to chase, the system it lives in and what happened next. We’ll use that real process to find the useful first improvement.
If jobs stall while you wait for photos, a form or a customer decision, follow up on that specific request instead. Stop when the information arrives, the request is withdrawn or staff take over.
New enquiry capture and confirmed booking are separate workflows. A reply to a reminder does not by itself confirm an appointment or accept a quote.
Useful questions
That is the first place we look. If its native reminders, tasks and reply handling cover the need, we can configure those and improve the staff process. An extra platform or custom portal is only useful when it fills a real gap.
We confirm one supported, permitted route first. Email needs an authorised sender and monitored replies. SMS needs a suitable sending and reply setup. WhatsApp may need approved templates; Instagram and Facebook depend on current messaging eligibility. We won’t assume a social conversation can be chased days later. A staff task can be the useful fallback.
The outcome needs to reach the source record through a reliable connection or a simple staff update. We agree who records it and what stops next. The workflow can only respond to information it can see.
The agreed reply route pauses the sequence and gives the reply to its owner. Staff decide whether to answer, close or deliberately resume. We also agree how out-of-office replies are handled and whether a reply pauses one item or other related follow-ups.
Those can be separate starting scopes. Appointment reminders use the current confirmed booking; payment reminders need current balances and dispute information. We choose one purpose first. Reactivation campaigns also need their own audience and contact-permission rules.
A clear reminder process may need no AI at all. Where useful, AI can help summarise a reply or prepare a draft for staff. Setup, software, sending usage and any ongoing monitoring are scoped separately, with an agreed person responsible for keeping it running.
