Bring customer and job information into the draft from an agreed record or staff form, instead of typing it into each document.
Quote & Invoice Preparation
Make quotes and invoices from the job details you already have. Your prices go into a draft, your team checks it, and the finished version is ready to send.

When document preparation slows the team down
Copying an old quote means checking names, chasing prices and hoping no old wording slips through. A repeatable preparation process gives staff a clearer place to start.
Bring customer and job information into the draft from an agreed record or staff form, instead of typing it into each document.
Apply your maintained price list and calculation rules. Missing prices and unusual work stay visible for someone to decide.
Keep a reference, revision and document link with the request, so the team can see what was reviewed and what was sent.
From details to reviewed document
This is how a quote workflow could work. Staff use one agreed workspace to prepare and review the document.
Staff select an enquiry or enter the customer, service, quantity and required job information.
Approved rules assemble line items, calculations and template wording. Gaps are flagged for review.
The reviewer checks the scope, amounts, terms and intended recipient in the actual workspace.
Save the approved version and its reference. Staff send it, or use a separately agreed sending step.
A notification brings the reviewer back to the document. Email or team chat can alert them, while the approval happens in the quote workspace. A material change returns the draft for review; the version already sent stays traceable.
Choose the bottleneck to solve first
Starts with a customer request. Prepares proposed work, pricing, assumptions and terms for review before you send an offer.
Starts with an agreed billing event: an approved deposit request, completed job, milestone or recurring schedule.
Customer acceptance, work completion, invoice issue and payment received are separate events. We agree which event starts each next step.
Built around your team
If your quoting or accounting software already supports drafts, we can focus on getting the right details into it. If you work in Google Sheets or Excel, a structured input sheet and approved template may be enough.
Where needed, a small authenticated staff screen can make entry and review simpler. The proposal names where your team will work and exactly which connections are included.
A useful first scope
Start with a repeatable service, an approved price list, one template, staff review and a document log. Keep staff sending manually at first if that meets the need.
If delayed billing is the bigger problem, begin with one invoice workflow and its agreed billing trigger instead.
Common questions
Yes, if parts of preparation repeat: customer details, descriptions, layout or calculations. Site visits, custom scope and expert pricing can remain with your team. We’ll identify what is worth standardising before proposing a build.
We start with what you use. The useful improvement may be feeding an existing draft, tightening a spreadsheet or keeping revisions organised. Connections depend on what your account and software support. For standalone invoice documents, we also agree numbering, recording and reconciliation so they fit your accounting process.
Your approved pricing rules and reviewer control the amounts. AI is optional; it might help summarise an enquiry or propose a description. It does not invent rates, discounts, tax settings or customer approval. A straightforward template workflow may need no AI at all.
Staff can collect the details from their existing inbox and prepare a quote in the agreed workspace. Connected intake and automated delivery are separate options. They depend on supported platform access, account permissions and messaging restrictions. We confirm those first; delivery can remain staff-assisted.
Sending can be included once the approval, exact version, recipient and sending account are agreed. Generating a PDF and delivering it are separate steps. Staff sending manually is also a useful starting point, and customer acceptance needs its own explicit record.
Only if it matches an agreed billing event, such as an approved deposit request. Acceptance alone does not mean work is complete or the full amount is due. Invoice preparation has its own checks and review; issuing an invoice does not mean payment has been received.
