From preparing reports to using them

The report is ready. But is the next step clear?

If someone has to export, copy, tidy and reconcile the same information each week, reporting becomes another job. And a total on its own still leaves your team asking what to do.

Less repeated preparation

A repeatable workbook or supported data connection brings the agreed information into one view. Any manual uploads are clearly part of the routine.

Figures with a shared meaning

Agree what counts, which dates apply and which system owns each measure. Check the totals against the source so the team can explain them.

A useful list of next steps

Move from “eight quotes open” to the quotes awaiting a decision, their age and the person responsible for reviewing them.

How it works

From source information to a team decision.

Every important measure should help someone decide what happens next. We start with that decision, then build the reporting routine around it.

  1. Agree the view

Choose the audience, useful measures and source records. Define the period, statuses and refresh timing.

  2. Prepare & check

Bring in authorised data through agreed connections or exports. Match records where reliable and reconcile the figures.

  3. Review the overview

See the measures, exceptions and latest successful data timestamp. Open the detail behind anything that needs attention.

  4. Your team acts

The responsible person reviews the record and takes the next step in their usual system. A later refresh reflects recorded changes.

Visibility leads to a human handover. A flagged invoice still needs an accounts review. A quote on an attention list has not been followed up automatically. If you also want actions automated, we scope that workflow separately.

Behind the numbers

Reach the record. Find the next step.

The overview is the starting point. Supporting lists show who owns an item, how long it has waited and where to investigate it.

Your team uses its normal tools to make changes. Access to report detail and source records is checked for the people who need it.

  • A practical handoverA team walkthrough, simple operating guide and named owner for refresh issues. Recurring briefs or alerts can be added if useful.

A useful first scope

One decision-maker. Five to eight useful measures.

Start with one or two accessible sources and one overview. For example: a weekly owner review of enquiries, current quotes and agreed billing measures, with a short attention list.

We agree the history, refresh schedule and report owner before the build. Bring your current weekly report or a sample export to the audit so we can see what would make it more useful.

Use the tools that fit your team

A better native report, Excel or Google Sheets may be enough. Where sharing or refresh needs justify it, we can use a suitable reporting platform such as Power BI.

A separate portal or custom interface is an option when the requirements justify the extra build and maintenance. Your actual source access, sharing needs and licences shape the choice.

Setup, software or connector costs, and optional ongoing operation are scoped separately. Data cleanup or missing history may need separate work.

Useful questions

Before we build your view.

We already have reports. Do we need another dashboard?

Start with the reports you already have. If a saved view, clearer definitions or a better review routine answers the question, that may be the right solution. A combined view helps when the information you need is spread across systems.

Can it show live data?

We agree how fresh the information needs to be for your decisions, then check what your sources and reporting tools support. The report shows the latest successful data update. Reloading the page does not necessarily update the source data.

What if our data is missing, messy or stops updating?

We identify the gaps and start with measures the available records can support. Missing data is shown as unknown or unavailable, never quietly counted as zero. If a refresh fails, the affected figures retain their real timestamp or are marked unavailable, with a named person responsible for recovery.

Can I see revenue, cash and profit?

We can include agreed financial measures that your sources support. Quote value, invoices issued, cash received and profit are different things. Profit needs relevant cost data and an agreed calculation. In the sample above, profit is unavailable because cost information is not included; it cannot be inferred from the invoice or payment totals.

Will it explain why sales changed?

It can show where a change appears by period, source or stage when those details are recorded. Understanding the cause may need business context and further investigation. We also check that comparison periods and groups are genuinely comparable.

Does the dashboard follow up with customers?

This offer helps the team spot and investigate unfinished work. Staff remain responsible for taking action. A recurring summary or exception notification can be included; customer follow-ups or changes to business records are separate workflows.

Do we need ongoing support?

A setup and handover can suit a report your team can operate. Ongoing support makes sense if Allevic runs the connections, handles refresh recovery or maintains the reporting data. We agree those responsibilities and any continuing software costs before you proceed.
