Team SOP & Training Hub

Explain it once.
Give the team a place to learn.

Give your team one place to find instructions, examples and short videos. New starters can learn the job, and experienced staff spend less time explaining the same things.

We organise the hub in a workspace your team can use, with an owner to keep each important guide current.

Less searching. Less repeated explaining.

The answer shouldn’t depend on who’s available.

When instructions live in someone’s head, a chat thread or an old recording, even familiar work can need another explanation. We capture the agreed method and put the useful answer where staff can find it.

“Everyone asks me.”

Turn recurring explanations into short task guides with the decisions, checks and exceptions people actually need.

“Which version is right?”

Give staff a clear home for current instructions, with approved status, named owners and a path away from old material.

“New starters need help with everything.”

Connect instructions and demonstrations into a role-specific starting path, with practice and a supervisor check.

What the team actually uses

One task. The steps, the example and the person who can help.

A useful guide gives someone enough context to begin, a clear finished outcome and a sensible place to stop. Here’s an illustrative example for an office coordinator.

Approved exampleOwner: Office manager

Hand a completed job to the office

Use this when: the work is finished and the office needs the information to check the job.

Before you start: have the job record, completion notes and required attachments ready.

  1. Open the correct job record and check the job reference.
  2. Add the completion notes and required attachments.
  3. Check that outstanding issues are clearly recorded.
  4. Use the agreed handover step in your job system and confirm it is ready for office review.
Finished looks like

The office can see what was done, the supporting files and anything still needing attention.

Missing a required detail?

Pause the handover and ask the office manager. Don’t mark the job ready while required information is missing.

A short Loom-style demonstration sits beside the written steps. Use Loom or your existing video environment, with access checked for the intended team.

Illustrative worked example · Sample job

A handover the office can use

Completion note: Work completed as agreed. Completion photos attached. Customer has asked about additional work; office review needed before any commitment.

The example shows what to record and where a human decision is still needed.

This hub teaches the handover in your existing tools. Automatically creating or routing live tasks is a separate workflow scope.

From instructions to practice

Give a new starter a clear path, with a person at the end.

Role-specific onboarding links the right guides in a useful order. Your supervisor checks a representative practice task and helps with anything the guide hasn’t answered.

A tick is a progress marker. Reading a page or watching a video does not prove someone can do the task. The agreed practice and supervisor review make the learning useful.

How we build it with you

Capture the knowledge. Make it usable. Keep it current.

  1. Choose the useful tasks

We review your existing material and agree the first role, recurring questions and workspace.

  2. Capture & draft

Your experienced people show the work. We turn it into concise guides, examples and agreed demonstrations.

  3. Approve & try it

Your process owner approves the method. A representative staff member tries normal and exception cases.

  4. Publish & hand over

We check access, organise the current material and show your owner how to update and retire guides.

If people disagree on the process, the business decides. We help surface the gap before publishing the instruction. Staff feedback then gives the owner something specific to improve.

A practical handover

Your knowledge, in a place your team can use.

We can build in Notion with Loom, Google Workspace, Microsoft 365 or an existing knowledge tool. We confirm the available features and access in your actual account.

The hub normally lives in your own workspace. You receive a clear structure and useful content your team can maintain.

  • A clear home pageTask-based navigation and a Start here path for the agreed audience.
  • Approved instructions & examplesThe named guides, templates, FAQs and recordings agreed in the scope.
  • Ownership that lasts beyond launchStatus, review dates, access checks and a practical way to update or replace material.

Before you choose

Useful questions.

We already have documents and videos. Can you work with them?

Yes. We first check what is useful and current. The right scope may be organising and indexing existing material, rather than rewriting everything. We can also capture missing knowledge and add onboarding where it helps.

How much time does our team need to contribute?

We handle the interviewing, drafting and organisation. Your experienced people still need to demonstrate the tasks, resolve open decisions and approve the instructions. We agree who is involved and the review effort before starting.

What happens when a process changes?

Each important guide has an owner and review information. We hand over how to revise, approve and publish changes, and direct staff away from retired versions. A change to the underlying process should trigger a review, even before the next scheduled date.

Do we need another platform or a monthly Allevic subscription?

A straightforward hub can be a setup-only project in your own workspace. Existing tools may cover the requirements. Setup, any third-party subscriptions and optional ongoing content maintenance are scoped separately.

Can an AI assistant help staff find answers?

If it adds value, we can scope an assistant within the hub that links to approved sources and respects each user’s access. Missing or conflicting guidance should lead to the right person. Clear pages and search can be enough; an assistant is optional.

Does this include formal training records or automated workflows?

The core is usable, approved knowledge and an agreed learning path. Formal assessments, certificates or auditable learner records may need a separately scoped learning platform. Automatically routing live work is also a separate implementation. Your supervisor remains responsible for checking that staff can do the work.

How do you check that the hub is useful?

We test with an intended staff member: can they find the current guide, complete a representative practice task and identify the escalation step? We also check linked files and videos under the intended access, and confirm your owner can update the material. Measures such as repeated questions or time spent finding instructions can be agreed for the selected team.
